Case Management software

A case is not a ticket that stayed open a long time.

A ticket is closed and forgotten. A case has participants, evidence, statutory deadlines, decisions that have to be justified later, and a shape that changes as it proceeds. Helpdesk software models the first and gets quietly bent into the second, which is how a compliance obligation ends up living in a comment thread.

What it replaces

  • A ticket system carrying work it was never designed for, with the real detail in attachments and comments.
  • Deadlines tracked in a diary, where a missed statutory date is discovered after it passes.
  • Case files split between a folder, an inbox and somebody's notes.
  • No reliable answer to who accessed a sensitive file and when — which in a regulated setting is the first thing asked.

What we build

The parts that make it a system.

Scoped to what you run. A module you do not need is not a discount we withhold — it is work nobody does.

Case record and participants

The case as the central object with its own type and stage model, every participant in their role — claimant, respondent, representative, assessor — and relationships between linked cases held explicitly.

Stage workflow and decisions

Stages with entry criteria, required evidence and recorded decisions with reasons, so the file explains itself to a reviewer months later without anyone reconstructing it.

Evidence and documents

Documents and evidence attached to the case with source, date and chain of custody where it matters, plus redaction and controlled disclosure for what gets shared outside.

Deadlines, audit and confidentiality

Statutory and internal clocks with escalation ahead of the date, granular access control including conflict-of-interest walls, and an audit log covering reads as well as writes.

Where AI actually helps

And where it does not.

Summarising a long case file for a reviewer who has just picked it up is the clear win, provided every statement links to its source in the file. Extraction from submitted documents cuts intake time significantly. What we will not build is a model that recommends or makes a decision affecting a person's rights, benefits or standing — advisory only, human decides, reasoning recorded. That is not a technical limitation, it is a line we hold.

Integrations

What it has to talk to.

A system that does not reach the ones you already run creates a second place to type things, which is the problem you started with.

  • Email and post intake, so correspondence lands on the case automatically
  • E-signature and secure sharing for external parties
  • Payment or billing where cases carry fees
  • Identity verification, where regulation requires it

The limits

What we do not do here.

Including, on several of these pages, telling you not to buy a build at all. That advice has cost us work. It has also stopped projects that would have failed in month three, which is cheaper for everyone.

  • We do not build automated adjudication. Decisions about people are made by people, and the system's job is to make the record of that decision complete.
  • We do not provide legal or regulatory interpretation. We build to the process your compliance function defines and we ask for it in writing.
  • Cross-border cases carrying personal data have data residency requirements that shape the architecture. That is a scoping conversation before the build, not a deployment detail afterwards.

In practice

Where this shows up.

Legal and professional practices

Matters with time recording, conflicts checking and document-heavy files where the deadline regime is unforgiving.

Insurance, grants and complaints handling

Structured assessment against criteria, with a decision that has to be justifiable on review and an audit trail that has to survive it.

How it runs

Fixed scope, fixed price, working software each sprint.

  1. 01

    Discovery

A call, then a written read of the problem — what it costs today, what would have to be true for software to fix it, and whether we're the right people.

  2. 02

    Proposal

Fixed scope, timeline and price. No open-ended discovery phase billed by the hour.

  3. 03

    Build

Agile sprints with something running at the end of each one. You see progress in the product, not in a status deck.

  4. 04

    Ship & support

Cloud deployment, production monitoring and a maintenance arrangement that starts before launch, not after the first incident.

Related

Systems that usually come up in the same conversation.

Most of these share data with each other. Where two are in scope we would rather build one system than two that sync.

Document Management

A document system that knows what a document is about — versioned, permissioned, retained and actually searchable.

Contract Management

Every contract findable, with its dates, obligations and renewal windows as data rather than buried in a PDF.

Task Management

Work assignment and tracking embedded in your own process, for teams that need workflow rules a generic board cannot express.

Pick a time that suits you. Tell us the problem, and we'll tell you honestly whether we're the right people to solve it.
