Fuel is on one bill, maintenance on invoices from three garages, insurance and permits in a folder, driver hours on paper. Each part is managed. Nothing joins them, so the vehicle quietly costing double the rest of the fleet stays invisible until it fails on a job.

What it replaces

  • A GPS tracking portal that shows where vehicles are and nothing about what they cost.
  • Servicing done when something sounds wrong, rather than on hours or kilometres.
  • Insurance, fitness, permit and licence renewals tracked in a diary, discovered on the day one lapses.
  • Fuel logged by receipt with no odometer to reconcile it against, which is where fuel loss lives.

Vehicle and driver records

One record per asset and per driver, with documents, renewal dates, assignment history and incidents — so a vehicle's cost and a driver's record are both continuous over time.

Preventive maintenance

Schedules by kilometre, hours or date, work orders to in-house or external garages, parts and labour cost captured per job, and downtime measured rather than absorbed.

Trips, fuel and cost per kilometre

Trip records with odometer capture, fuel entries reconciled against distance, and cost per kilometre by vehicle, route and driver — the metric the whole system exists to produce.

Compliance and alerting

Insurance, fitness, permits, PUC and licence expiry with escalation ahead of the date, and a block on dispatching a vehicle whose papers have lapsed.

Where AI actually helps

And where it does not.

Genuinely useful for predicting failure from telematics patterns — but only on a fleet large enough and instrumented long enough to have failure history, which rules out most fleets under a few dozen vehicles, and we will tell you which side of that line you are on. Route optimisation is a solver, not a model. Driver behaviour scoring from harsh-braking and speed data is arithmetic that vendors like to call AI.

A system that does not reach the ones you already run creates a second place to type things, which is the problem you started with.

  • GPS and telematics devices, including whichever units are already fitted
  • Fuel cards and fuel station networks for automated transaction import
  • Accounting for maintenance cost and depreciation posting
  • Toll and e-way bill systems where they apply to your operation

The limits

What we do not do here.

Including, on several of these pages, telling you not to buy a build at all. That advice has cost us work. It has also stopped projects that would have failed in month three, which is cheaper for everyone.

  • We do not supply, fit or warrant telematics hardware. We integrate the devices you have or the ones your supplier fits.
  • We do not build driver-facing tracking that exceeds what your drivers have been told about and consented to. Location monitoring of workers is regulated in several markets we serve and we will build the consent and retention controls, not route around them.
  • Route optimisation at national scale with time windows and capacity is a specialist solver. For a handful of vans we will build it; for a national distribution network we will integrate a dedicated engine rather than pretend.
