CRM software
Most teams do not need a bigger CRM. They need one that matches how they sell.
Off-the-shelf CRM assumes a deal is a linear pipeline owned by one rep. Plenty of businesses do not work that way — a deal is a quote, a sample, a site visit, a negotiation with three people and a payment schedule. We build the CRM that models what your sale actually is, and stops the team keeping the real version in a spreadsheet beside it.
What it replaces
- A licensed CRM the team logs into for reporting and works around for everything else — the real pipeline lives in one person's spreadsheet.
- Follow-up that depends on somebody remembering. Deals go quiet and nobody finds out for three weeks.
- Quotes rebuilt by hand in a document for every enquiry, with pricing that varies by whoever wrote it.
- Per-seat pricing on a system where half the seats only ever read, so half the team is deliberately left out of it.
What we build
The parts that make it a system.
Scoped to what you run. A module you do not need is not a discount we withhold — it is work nobody does.
Pipeline that matches your stages
Stages named for your process, not Salesforce's — with the entry and exit conditions that make a stage mean something, and the fields that are mandatory only at the point they are actually known.
Quoting and proposals
Price books, approval thresholds, versioned quotes and a PDF that goes out looking like your company wrote it. Margin calculated at quote time rather than discovered at invoice time.
Activity capture and follow-up
Email and call logging, next-action dates that are enforced rather than suggested, and escalation on a deal that has gone quiet past a threshold you set.
Reporting people trust
Forecast, conversion by stage, source attribution and rep-level activity — computed from the record, not from a monthly manual roll-up that no two managers reconcile the same way.
Where AI actually helps
And where it does not.
Two places it earns its keep and one where it does not. It earns it on capture — pulling the structured fields out of an inbound email, a WhatsApp thread or a call transcript so the rep is correcting a filled form rather than typing one. It earns it on triage, scoring which enquiries look like the ones that closed. It does not earn it on generating outbound copy that a prospect can tell was generated, and we will say so.
We have built this
TheDreamz Overseas
The CRM inside TheDreamz Overseas is one we built — student enquiries through a multi-stage application workflow to placement, with university matching alongside it. It is a CRM whose 'deal' is a person's application over months, which is exactly the shape a generic pipeline handles badly.
Integrations
What it has to talk to.
A system that does not reach the ones you already run creates a second place to type things, which is the problem you started with.
- Email and calendar — Google Workspace or Microsoft 365, two-way
- WhatsApp Business and telephony, so conversations land on the record
- Accounting — Tally, Zoho Books or QuickBooks — for the invoice side of a won deal
- Your website's enquiry forms and any ad-platform lead forms
The limits
What we do not do here.
Including, on several of these pages, telling you not to buy a build at all. That advice has cost us work. It has also stopped projects that would have failed in month three, which is cheaper for everyone.
- We do not sell a CRM licence. This is a build you own and run, which is the right answer above a certain amount of process customisation and the wrong one below it — if HubSpot fits, use HubSpot and we will tell you so on the first call.
- We do not do bulk cold-outreach tooling. Sending volume from a system holding your customer data is a deliverability and compliance problem you do not want joined to your CRM.
- We will not migrate data we cannot reconcile. If the export has duplicate accounts and no stable key, cleaning that is a scoped piece of work before the build, not a free extra during it.
In practice
Where this shows up.
Export and trade
A deal is an enquiry, a sample, a quotation in a buyer's currency and a shipment. The stages are real events with documents attached, and a generic pipeline drops all of them.
Education and consulting
The pipeline is a person, not a purchase order, and it runs for months across counsellors. Ownership handoffs and history matter more than close-date forecasting.
How it runs
Fixed scope, fixed price, working software each sprint.
01
Discovery
A call, then a written read of the problem — what it costs today, what would have to be true for software to fix it, and whether we're the right people.
02
Proposal
Fixed scope, timeline and price. No open-ended discovery phase billed by the hour.
03
Build
Agile sprints with something running at the end of each one. You see progress in the product, not in a status deck.
04
Ship & support
Cloud deployment, production monitoring and a maintenance arrangement that starts before launch, not after the first incident.
Related
Systems that usually come up in the same conversation.
Most of these share data with each other. Where two are in scope we would rather build one system than two that sync.
ERP
One system across sales, purchase, stock and accounts — scoped to what you actually run, not to a product's feature matrix.
Case Management
For work that is a case rather than a ticket — long-running, evidenced, regulated, and different every time.
Contract Management
Every contract findable, with its dates, obligations and renewal windows as data rather than buried in a PDF.
