Shared storage is not a document system. It is a place documents go.

Drive and SharePoint solve storage and sharing, and stop there. They do not know that this PDF is a purchase order for that supplier, that it supersedes last month's, that three people must approve it, or that it has to be destroyed after seven years. That knowledge is what turns a folder into a record.

What it replaces

  • Folder hierarchies that made sense to whoever built them in 2019 and to nobody since.
  • Version control by filename — final, final_v2, final_USE_THIS.
  • Permissions granted per share link and never revoked, so leavers keep access for years.
  • Retention as a policy in a document rather than a rule the system enforces.

Metadata, classification and search

Documents typed and tagged with the fields that matter — party, date, value, project — so search is by what the document is rather than by what it was called, with full-text and OCR over scans.

Versioning and controlled release

Check-in and check-out, version history with comparison, a clear current version, and superseded material marked as such rather than deleted — because in most regulated settings you have to keep it.

Workflow and approvals

Review and approval routing with deadlines, delegation, and an approval record attached to the version approved, not to the document in general.

Retention, access and audit

Role and attribute-based permissions, retention and disposal schedules the system applies, legal hold, and an audit log of every view, edit, download and share.

Where AI actually helps

And where it does not.

Classification and extraction are the load-bearing uses: deciding what an incoming document is and pulling out its key fields, which is what makes the metadata exist at all rather than depending on whoever uploads it. Semantic search over a large archive genuinely beats keyword search. Retrieval-based question answering across your own document set is real, and it is the same engineering as our chat agents — which is why we treat the two as one problem when both are in scope.

A system that does not reach the ones you already run creates a second place to type things, which is the problem you started with.

  • Existing storage — Google Drive, SharePoint or S3 — kept as the store where you prefer
  • Scanners and email intake for paper and inbound documents
  • E-signature for the documents that need executing
  • Your ERP, CRM or case system, so a document is linked to the record it belongs to

The limits

What we do not do here.

Including, on several of these pages, telling you not to buy a build at all. That advice has cost us work. It has also stopped projects that would have failed in month three, which is cheaper for everyone.

  • If your need is storage and sharing, you already have it. This is for documents with lifecycle, approval or retention obligations attached.
  • We do not build a Google Docs replacement. Authoring stays where it is; we manage the record.
  • Migrating a large unstructured archive is its own project with its own budget. Classification can be assisted, but nothing makes twenty years of untagged files clean for free.
